Insert a unique link for each contact in an email campaign

Store each contact's URL in a contact data field and use it as the link, so every contact gets their own file, survey, or voucher link.

Written by Gareth Burroughes

Send each contact a link that's unique to them by storing their URL in a contact data field, then using that data field as the link in your email campaign. Each contact who selects the link goes to their own URL.

You can use unique links to send contacts:

  • A file that only they should see, such as a statement or a certificate

  • A personal survey link created by your survey platform

  • An activation, voucher, or QR code link created by another system

Before you start

  • You need a URL for each contact. If you're sending files, you must have access to a server to upload them to. If the links come from another platform, export them with each contact's email address.

  • The URLs you upload must not start with http:// or https://. The protocol is added in the link in your campaign instead, and URLs that already include it don't work.

  • Each URL must fit in a Text contact data field. Learn more in Create, delete, and edit custom data fields.

Send a unique link to each of your contacts

To send each of your contacts a unique link:

  1. Upload your files to a server, or get each contact's URL from the platform that created it.

  2. Create a spreadsheet with two columns: one for each contact's email address and one for their URL. Each URL must be on the same row as its email address. Remove http:// or https:// from the start of each URL, and make sure there are no spaces before or after it. For example, enter www.example.com/files/statement-1234.pdf, not https://www.example.com/files/statement-1234.pdf.

  3. Create a new contact data field to store the URLs. The data field must have a data type of Text. Make a note of the name, for example, UNIQUE_LINK. You need it in step 7.

  4. Map the email addresses to the email contact data field and map the URLs to the custom contact data field you created.

  5. Create your campaign, and add a hyperlink to text, an image, or a button.

  6. For Link (URL), enter https://@CUSTOM_DATAFIELD_NAME@. For example, if your data field is called UNIQUE_LINK, enter https://@UNIQUE_LINK@.

When contacts select this link in your campaign, it opens the URL stored in their contact data field, for example, their file or their survey.

If a contact doesn't have a URL stored, the link doesn't work for them. Learn more in Set a default value for a contact data field.

Check your unique links before you send

Preview your campaign as a contact who has a URL stored, then select the link to check that it opens the right page or file. Repeat this for a few contacts to make sure the right URL is used for each one.

If a unique link doesn't work

  • Check that the URLs in your contact data field don't start with http:// or https://, and have no spaces before or after them.

  • Check that the data field name in Link (URL) matches your contact data field exactly, including the @ at each end.

  • Some websites don't accept the tracking parameters added to the end of tracked links. If your link goes to the wrong page or shows an error, select Do not track this link. Learn more in Understand open tracking and link tracking.
